Programme overview

About your role: Your role in the programme (Mentor or Mentee) has already been set by the JA Europe admin team based on how you were imported into the platform. You won't need to choose a role during registration — it's already taken care of.

Build Your Profile

Tell us a bit about yourself! Fill in your preferred name, your job title or current activity, and link your LinkedIn profile. Once you've filled these in, click 'Next' to proceed.

About the Job Title field: If you're not currently working — for example, if you're a student or between roles — you can use this field to enter either:

  • Your current studies (e.g., "MSc Economics student at University of X"), or
  • Your most recent position (e.g., "Former Marketing Intern at Y").

Pick whichever best reflects where you are right now — your mentor will appreciate the context either way.

Crafting Your Bio

Section 02

Getting Matched by JA Europe

Welcome aboard, and congrats on registering! Now, the real fun begins as you step into the world of 1-on-1 mentorship. You've already put in effort to share about yourself, and that information is exactly what the JA Europe admin team uses to find the right match for you.

How matching works in the JA Talents Mentorship Programme:

Matching is handled directly by the JA Europe admin team. You won't be asked to browse a directory, shortlist mentors, or confirm a suggestion — we take care of pairing you with the best mentor (or mentee) for your goals based on the information you provided during registration.

All you need to do is wait for the email letting you know your match is ready. Once it arrives, you can dive straight into scheduling your first session.

You're Waiting to be Matched

After registration, you'll be in a brief waiting phase while the JA Europe team finalises your pairing. Keep an eye on your inbox for a "Match Started" email from the admin team — this email will introduce you to your new match (your mentor or mentee).

Once you receive that email, you are officially matched and can immediately log in to the platform and begin scheduling sessions with your match. No approval step, no shortlist to submit — it's all set up and ready for you.

What to Do When You Receive Your Match Email

  • Log in to the platform — your match will already be visible on your homepage.
  • Review your match's profile — take a moment to read their bio, background, and interests so you can come prepared to your first session.
  • Reach out — a friendly introductory message goes a long way before scheduling your first session.
  • Book your first session — head straight to Section 3 of this guide for how to schedule.

Mentees, you're encouraged to take the lead. A short, friendly note to your mentor to introduce yourself and discuss availability is the best way to kick off the relationship. Mentors — feel free to welcome your mentee proactively too!

Section 03

Planning Your 1-on-1 Meetings

On the Together platform, you can conveniently book sessions into your mentor's or mentee's calendar using the built-in scheduling system. This not only includes the agenda for your session but also sets up reminders to keep you on track. It's important to book through the platform — this is how JA Europe is able to provide you with the structured guidance, resources, and reminders that make your sessions productive.

Pro Tip: Always check in with your mentor or mentee before booking a session directly into their calendar. A quick "does this time work?" goes a long way.

For Mentees: We encourage you to take the lead in scheduling. A courteous email or platform message to your mentor to discuss availability is a great way to initiate your mentorship.

Booking Your 1-on-1 Sessions

Once you've been matched, here's how to book a session:

Go to your homepage and click on the profile of your match:

Matching homepage

Click 'Book Session' to start scheduling. If it's your first session, you'll see a prompt to guide you:

Book session

In the scheduling wizard, you'll find several options to tailor your session:

  • Session Duration: Pick from 30, 45, or 60-minute slots (if available).
  • Conferencing: Add a video link (e.g. Zoom, Google Meet, Microsoft Teams) or choose a physical meeting spot. If your preferred tool isn't listed, coordinate it outside the platform.
  • Choose a Date: Available dates are highlighted, while past times are greyed out.
  • Choose a Time: Times where both you and your match are available have a green dot next to them; past times are greyed out.

Scheduling calendar

Once you've selected the date and time, and added a video conferencing service (optional), click on your preferred time slot to send a calendar invite.

If you plan to have multiple sessions over the course of the programme, you can either schedule them all at once or just start with one. Choose a preferred day (for example, every Wednesday at 9:00 AM) and decide how often they occur — weekly, bi-weekly, or monthly.

Finalize the invite by clicking 'Send Invite'.

Here's how it'll appear in your Zoom calendar:

If a session happens outside of the Together platform — for example over a quick phone call — make sure to log back in and mark it as complete. This keeps your progress up to date and helps JA Europe track engagement across the programme.

Don't Have a Calendar Integrated?

No problem! Check out the guide on Scheduling Sessions Without your Calendar Integrated.

Planning for Your Meeting

If you are the one who scheduled the meeting, you'll automatically be prompted to review, edit, and save the session agenda. This agenda can be updated at any time before the meeting.

You can also customize the agenda using AI by clicking the 'Customize using AI' button to tailor what you want to cover in the session.

Agenda editor

For all agenda edits, don't forget to click 'Save Changes' at the bottom right. You can also add private notes (only visible to you). Once the session is complete, post-session feedback will become available.

Keeping Track of Your Sessions

Whenever a session happens outside the Together platform, log back in and mark it as complete. This helps keep your participation in the JA Talents Mentorship Programme accurately recorded.

You're doing great! Head over to the next section, Attending Sessions and Managing Agendas, to continue.

Section 04

Attending Sessions and Managing Agendas

Welcome to the exciting next phase of your JA Talents Mentorship journey — actively participating in your sessions! This section walks you through what to expect when joining sessions, and how to make the most of agendas to keep your conversations focused.

Attending Your Sessions

After you've scheduled a session, both you and your match will receive an invite. This could land in your email inbox or directly on your calendar. Here's what your invite will typically look like:

Session calendar invite

Heads up: If you haven't set up calendar integration, expect the invite to arrive from notifications@togetherplatform.com. Otherwise, it'll automatically appear on your Outlook or Google calendar, depending on your set-up.

When it's time for your session, just click the meeting link in the invite. This will launch your chosen conferencing tool — like Zoom or Google Meet:

Click Zoom link

For in-person meetings, the location details will be in your invite.

Tip: Can't locate your session invite? Reach out to your mentor or mentee and check your spam/junk folder. Better to overcommunicate than miss out on a session!

Session Agendas: A Must-Have for Productive Sessions

Prepping for your session with an agenda is key to making the most of your mentorship time. The Together platform provides customizable agendas for each session, and here's where you can access them:

Accessing Agendas in Your Match

From your homepage, click on your active match, then find and click on your session to view its agenda. You can edit this agenda directly — just click, edit, and save!

Editing the agenda

Email Notifications

Session-related emails often include the agenda at the bottom. If you need to view or tweak the agenda, just click the View Agenda button in the email.

Programme's Session Overview

For a broad view of all session agendas, head to the Home page, select your match, and then choose the Notes & Agenda tab. This gives you a snapshot of what's planned across your sessions.

Mentorship Agreements & Final Assessments: Tools for Goal Setting

Mentorship Agreements are your roadmap for what you aim to achieve through the JA Talents Mentorship Programme. While optional, completing this can significantly enhance your experience — and it's a great way to align expectations between mentor and mentee.

Finding the Mentorship Agreement

Go to your homepage, select your match, and scroll to 'Mentorship Agreement'.

Completing the Agreement

You'll assess your skills and goals, fill out your development plan, and then sign off on the agreement. If the programme doesn't include certain goal or skill questions, those sections will simply be omitted.

Section 05

Post-Session Feedback

Just wrapped up a session? Great work! Now let's talk about a crucial step that follows — giving feedback. It's quick, and super valuable for making your mentorship — and the JA Talents Mentorship Programme overall — even better.

Why Your Feedback Matters

Post-session surveys are an important part of your mentorship journey. While they're optional, your insights help the JA Europe team understand how the programme is going and continually improve it. Your responses are confidential — they're only seen by the JA Europe admin team and are never shared with your mentor or mentee.

How to Give Feedback After Your Session

Finding the Feedback Task

After each session, you'll get a reminder to provide feedback. You'll see this as a To-Do on your Matching page. Alternatively, click on your mentor's or mentee's name from your Home page and check your session list for any pending feedback.

Spotting Uncompleted Feedback

Look for sessions marked with an indicator — these are the ones awaiting your feedback. Click on the session, then hit the 'Complete Feedback' button to start the short survey.

Filling Out the Post-Session Survey

Mentorship Fit

After your first session, you'll be asked about the fit with your mentor or mentee. This is shared only with the JA Europe admin team, so be honest — your feedback helps us learn and improve. Once done, hit 'Next'.

Session Rating

Rate how the session went on a scale of 1–4 stars. Feel free to leave any written feedback about the session — this context is incredibly helpful for the JA Europe team.

Topics Discussed

Let us know what topics you covered. This helps track the focus and themes of mentorship across the programme.

Notes & Action Items

Share any meeting notes or action items here. If you don't have any, just click 'Finish'.

Your feedback is a big part of making the JA Talents Mentorship Programme better for everyone! Even a couple of sentences after each session helps the JA Europe team support both you and future cohorts.

Closing Thoughts

You've journeyed from the initial excitement of registration, through receiving your JA Europe-assigned match, scheduling your first session, holding rich conversations, and finally sharing your valuable insights. Bravo for embracing each step with enthusiasm and dedication! Your mentorship adventure doesn't end here — it's just the beginning of deeper exploration, learning, and growth. Here's to all the connections you've made, and to all the ones still to come.
